DARS User Group Meeting Minutes
Nov. 3, 2000

- The meeting was called to order at 10:35 am.
- Fred submitted the necessary information to have catalog year term to ST1104 (majors) and ST1105 (minors) for each major and minor. We do not have an estimate as to timeline when this would be completed.
- Fred will work
on adding another pound (#) item to INCLTOP to allow test scores in
ISRS to trigger required courses on DARS audits. The general format
for the # item would include the pound number, test number from ISRS,
test scores/ranges from ISRS, the course or pseudo course, and condition
code. If there is a date on the test, the most recent test score should
be used. Larry & Fred will perform testing on a prototype as it
becomes available.
An item of concern was brought up relating to possible different forms of the same test, and how to separate them such that the correct form or version is used. Larry will try to find a source in MnSCU that can address this concern, and will report back at the next meeting.
Two other items that were suggested to be added to INCLTOP in the future would be a # option for programs and # option for cohorts.
- It was agreed
that work should begin on updating DARS security. The current system
of one code such as DA_01H (all screens in DARS) and DA_02H (printing
in ISRS) should remain.
It was also agreed that one code such as DA_10 (H and L) be available for all tables.
Also a code such as DA_03 (H or L) be available for primarily encoders. This could include the “programs” and “requirements” icons.
Also, a code such as DA_04 (H or L) be available for primarily transfer articulations personnel. This could include “institution” and “transfer” icons.
Regarding personnel doing primarily exceptions, Fred will do more research as to how the tables interconnect with ISRS.
Regarding entering certain courses, grades, etc. that might be used to determine the effect on the student’s audit, it was suggested that the DA0001CP screen in ISRS be modified to allow input of such items. This would then eliminate the potential need for several people on a campus needed DARS access. Fred will explore the possibilities.
- Laurie Tralle gave a brief update on transfer articulation progress. More transfer articulation training will be held on Nov. 29, 30 and Dec. 1; and again on Jan. 24, 25 and 26.
- Laurie Tralle also gave a brief update on CAS. Initially students would self-enter courses on CAS. Most of the setup work for CAS will be done centrally by MnSCU. The campus would need to have some type of person/position that would attend to student password problems, and to reset passwords. In the future it is desired to have coursework flow directly from ISRS.
- Dave Reinen indicated that there was apparently a maximum number of future year/terms that could be added into ISRS. Larry will try to determine if this is correct, and what that number is, and the rationale.
- The date and time of the next meeting was not determined at this time because of the uncertainty of the next Registration User Group meeting, and also due to added pressures on staff at the end of the fall semester, holidays, and the beginning of the spring semester.
